Job Description
Antenna is seeking a resourceful, highly proactive Executive Assistant to support our CEO and broader executive team, based out of our Hackensack, NJ office .
This is a high-impact, high-trust role ideal for someone who thrives in a fast-paced environment and has a sharp instinct for anticipating needs before they arise. The role combines executive support, office management, internal coordination, and project execution — requiring someone who can seamlessly switch between strategic scheduling and tactical logistics.
The ideal candidate will be a hands-on operator — not just a calendar wizard, but a true partner who can juggle logistics, manage internal workflows, and support key initiatives like podcast production and company events.
PRIMARY RESPONSIBILITIES
Executive Support
- Manage the CEO's daily calendar, meetings, and to-do list -- ensuring time is focused on highest priorities.
- Coordinate and confirm complex domestic and international travel, including flights, trains, hotels, and itineraries.
- Schedule executive meetings, all-hands, and offsite; support internal event planning.
- Manage and triage the CEO's inbox; prepare materials and context ahead of meetings.
- Maintain expense reports, reconcile receipts, and coordinate with Finance via Expensify.
- General personal assistant tasks as needed.
Office Management (Hackensack + New York City)
- Oversee daily office operations -- including maintenance, mail sorting, vendor coordination, and supply ordering.
- Manage snack and beverage inventory; coordinate with building management to maintain office aesthetics and functionality.
- Coordinate weekly bank deposits and other administrative tasks as needed.
Internal Operations
- Act as a producer for the CEO's podcast: coordinate guest outreach, scheduling, and deliverables.
- Help plan and execute internal events such as leadership dinners, company offsites, holiday parties, and culture initiatives.
- Manage internal travel coordination for agency staff, including booking hotels and supporting international travel needs.
- Facilitate onboarding for new hires -- including coordinating first-day logistics, laptop delivery, and scheduling.
QUALIFICATIONS
- 5+ years of experience supporting C-level executives in dynamic, fast-paced environments.
- Proven expertise in complex calendar management across global time zones and coordinating domestic/international travel logistics.
- Exceptionally proactive -- thrives without close supervision and instinctively finds ways to add value.
- Advanced proficiency in Microsoft Office and Teams
- Excellent organizational and multitasking skills with superior attention to detail.
- Strong judgment, confidentiality, and emotional intelligence.
- Polished written and verbal communication.
- Comfortable managing office vendors, facilities, and in-person logistics.
Position Details
- Schedule: 3 days/week in Hackensack, 1 day/month in NYC, with some flexibility to work remotely.
- Compensation: $80,000-$100,000 annual salary, depending on experience and qualifications.
