We are hiring a Legal Executive Assistant for a nationally recognized, multi-service law firm providing both litigation and transactional legal representation. Renowned for its expertise in construction and insurance law.
Essential Duties and Responsibilities Executive Assistance: - Serve as a liaison between attorneys, staff, clients, and stakeholders.
- Perform detailed revisions and proofreading of legal documents, memos, and presentations.
- Prepare and submit expense reports.
- Collaborate with the accounting department to ensure accurate client billing.
- Handle confidential information with discretion and professionalism.
Administrative Coordination: - Manage schedules, appointments, and deadlines.
- Coordinate and calendar meetings, conferences, and travel arrangements (business and personal).
- Prepare and distribute legal documents, correspondence, and reports.
- Organize seminars and ensure timely preparation of materials.
- Maintain and organize both electronic and physical filing systems for accuracy and accessibility.
- Collect and input accurate time entries, including time spent on emails and other tasks, ensuring thorough documentation.
- Handle incoming calls, emails, and other communications, routing them appropriately.
Education and Experience Requirements: - A minimum of 5 years of administrative, legal, or executive secretarial experience in a relevant practice area.
- Thorough understanding of filing procedures in federal and state courts.
- Proficiency in Microsoft Word and Outlook; basic knowledge of Excel, PowerPoint, and database systems.
- Familiarity with current technology, including imaging and scanning applications.
